HR Co-ordinator (6 - 12 Months Maternity Cover)

Leamington Spa

This post is predominately responsible for providing a comprehensive recruitment service across the Studio together with supporting other key activities of the
HR function.

Specific requirements for this role:

Directly reporting to: Head of HR.
Duties

* Making sure the Studio's recruitment process runs smoothly.
* Managing the careers@ email.
* Co-ordinating recruitment processes including processing applications, organising 1st and 2nd Interviews.
* Preparing new starter contracts.
* Maintaining and updating the recruitment computerised system providing regular reports and analysis as and when required.
* Help ensure the company is fully compliant with current legislation and that supporting paperwork is up to date.
* Ensuring that employment law is adhered to for all recruitment for example ensuring that proof of eligibility to work in the UK is obtained and verified.
* Attending weekly recruitment meetings.
* Maintaining the vacancy index.
* Liaising with Managers regarding job specification for new vacancies.
* Providing support to line managers on recruitment and selection processes.
* Liaising with and negotiating Terms and Conditions with agencies.
* Preparing and reviewing agency statistics on a yearly basis.
* Coordinating the construction and posting of job advertisements online.
* General typing of confidential correspondence and filing for example offer letters and contracts of employment.

Generalist:

* Providing support and guidance to staff and Managers as required on employee relations and staff issues, or involving the Head of HR as appropriate.
* Maintaining and updating the HR computerised system, and record keeping systems for staff data, providing regular reports and analysis as and when required.
* Ensuring that all team moves are communicated to the relevant departments and appropriate updates are made.
* Monitoring and recording employee annual leave requests and TOIL accrual.
* Monitoring and recording absence and turnover levels.
* Responsible for the collation of weekly manpower sheets and allocation of TOIL in line with TOIL policy.
* General typing of confidential correspondence for example promotion letters and contracts of employment.
* Liaising with the Senior HR Co-ordinator to ensure that the responsibilities involved in the employment of migrants are adhered to, such as obtaining a
Certificate of Sponsorship and conducting annual verification of document.
* Assisting the Senior HR Co-ordinator with Blitz Academy administration as required
* Assist in ensuring all key internal processes such as the starters and leaver process, probationary process, reference process are timely and efficiently
carried out.
* Assist with co-ordinating the New Staff Induction.
* Assist/provide appropriate cover as a point of contact to corporate benefits advisors in scheduling benefits meetings.
* As appropriate, liaising with the Accounts department to ensure salary amendments, band changes, etc are auctioned.
* Assist with ensuring job descriptions are kept up to date.
* Providing support and cover to other members of the HR team as and when required.
* Assisting the Head of HR with the creation of Pay Review and Band review paperwork.
* Assisting the Head of HR with ad-hoc projects or information gathering such as benchmarking, career development and salary surveys.
* Assisting the Head of HR with the yearly creation and implementation of Management Development Reviews.
* Assisting the Head of HR with the yearly update of personal information.
* Maintaining and updating the HR section of the Company Handbook.

* This role requires a significant amount of pro-activity, and the successful job holder needs to be comfortable working to deadlines.
* Must demonstrate the utmost discretion at all times.
* Must act with tact and diplomacy at all times and maintain confidentiality.
* Very good IT skills (MS Office) in particular Outlook, Works, Excel & Word.

Beneficial Qualities

* A very good standard of general education including very good English language.
* Ideally RSA 2 typing qualification.
* Previous experience of working in an HR Department would be preferable.
* An interest in developing a career in HR and working towards the certificate in Personnel Practice (CPP) would be advantageous.
* Professional attitude and work ethic.
* Thorough approach to problem solving and able to function independently when required.
* Needs to be comfortable working to deadlines.
* Attention to detail is essential and all tasks must be carried out to the highest standard.
* A willingness and ability to learn is essential.

Formal Qualifications
In terms of formal qualifications, it is agreed that levels of attainment should not be set. At Blitz Games Studios we adopt an approach that relevant higher
qualifications are `preferred' as opposed to `required' for UK/European and other `work legal' applicants, however to be considered for this role demonstrable
skills and ability in the role requirements will be expected and sought.
Training:
Although the jobholder will be trained on the job, they will be expected to develop their tool skills using their own initiative and in their own time. As well
as organised training sessions via the Blitz Academy, we encourage staff to broaden their skills further by giving them the opportunity to attend external
courses as appropriate.
