The Marketing and Sales teams are critical to the success of any game. The Marketing team works closely with game developers to ensure the game has a clear design and a clear ‘X’ factor, (i.e., the defining element of the game that makes it unique and the ultimate reason behind why our customers should pay for and play our game). The Marketing team identifies the key audience for our games and tailors the marketing strategy to communicate clearly to the intended target. The Sales team is responsible for making sure the game reaches all relevant distribution points, so that our customers can find our games at their favorite shopping destinations.
Role Overview
The primary purpose of an Administrative Assistant is to provide a 'first class' level of administrative and coordination service to a VP, Director, or Senior business leader. The AA has a host of important responsibilities, including maintaining calendars, coordinating meetings for executives, and ensuring that other executives and executive administrators are kept aware of all necessary diary appointments and changes. They also maintain the manager's e-mail inbox and provide e-mail responses when appropriate.
The AA coordinates domestic and international travel, including the arrangement of travel and accommodation for overseas visitors when required. Additionally, they screen and prioritize incoming phone calls and mail--responding and following up when necessary--and generate and compose correspondence on their own initiative. The PA also takes, transcribes, and distributes meeting minutes if required, manages multiple special projects including large-scale meetings, event planning for conferences/exhibitions, and meetings with business partners.
The AA also maintains up-to-date knowledge of EA operations, policies, and procedures, and processes electronic purchase orders for approvals by managers relating to external purchases. They also work as a liaison with the finance team regarding payment of invoices and expenses, and maintain accurate records for holidays and sickness. The PA maintains and distributes confidential and highly sensitive information, acting in confidence on behalf of the manager to handle issues of an organizationally or commercially sensitive nature.
This role will also be responsible for scheduling duties for the Marketing organization’s video capture requests to include:
• Confirm And Assign Capture Requests
- Audit capture request descriptions, due dates, specifications, and point of contact for approvals
- Analyze new WO and provide customers with preliminary estimate of total hours required for completion
- Assign WOs based on complexity levels and Capture Artist availability
- Provide Client with “Status Updates” on WO due by EOD
• Assist management capture request scheduling
- Align capture requests into applicable schedule
- If necessary, inquire and update appropriate point of contact to scheduling changes
• Asset Kickoff Meetings
- Participate in brain storming sessions to discuss capture requirements, necessary shot list, total coverage amount and angle types
- Ensure that desired shot list meets customer’s time line expectations
- Provide alternative capture suggestions targeting final asset product enhancement
- Confirm point of contact with Capture Artist
• Customer Service Client Satisfaction
What skills does EA look for??
The AA needs to be approachable with a strong focus on both internal and external customer service. They must be flexible and comfortable with frequently changing circumstances and arrangements. Other key skills include being confident at dealing with external executives and managing external relationships, demonstrating strong planning and organizational skills, and taking the initiative to respond to or deal with situations when appropriate. They must also be able to work under pressure, maintaining a sense of humor, and remaining calm and unflappable even during the busiest periods of time.
Technically speaking, the AA needs to be computer literate, with excellent keyboard and MS Office skills. They should have a particularly strong grasp of PowerPoint.
